About the Position

MENTOR is seeking a proactive, collaborative and detail-oriented Program Associate to join our growing national team. The goal of this position is to facilitate and support MENTOR’s projects and services for the mentoring field while providing general administrative support to MENTOR’s program team to ensure the quality and accuracy of our work.

The Program Associate will support the National Mentoring Resource Center(NMRC), a project funded by the Office of Juvenile Justice and Delinquency Prevention (OJJDP) that delivers high quality, evidence-based research-to-practice resources, tools and technical assistance to mentoring programs across the nation. Through this project, we offer no-cost training and technical assistance (TTA) to requesting mentoring programs. The Program Associate will play a critical role in the delivery of technical assistance, by reviewing, monitoring and tracking requests and communicating with TA Providers and programs to support their TA experience, troubleshoot any technical issues and provide customer service, and ensure the timely completion of TA and collection of key documentation and data about the work. This role will involve partnership and collaboration with a wide variety of MENTOR Staff, external consultants, MENTOR affiliates, funders, programs and others.

This position reports to the Program Manager and will be providing administrative support to the entire Program Team, through tasks such as coordinating webinar logistics, drafting consultant contracts, and scheduling team check-ins. This role will play a vital role in supporting a variety of programs and projects that further the quality and quantity of mentoring relationships.

Who You Are

The ideal candidate enjoys working collaboratively with teams to achieve a common goal, and is comfortable engaging with a wide variety of stakeholders, including staff, program partners, mentoring professionals, researchers, mentors and families. The ideal candidate is organized, self-motivated, and displays passion for youth development and mentoring. They will demonstrate the ability to adapt and respond to new information and changing plans, and juggle multiple priorities when needed. They will demonstrate the ability to develop and implement plans independently with attention to detail and manage/coordinate logistics while communicating frequently and proactively with team members. They will demonstrate strong writing and content creation skills.

Responsibilities:

Support of National Mentoring Resource Center (NMRC)

  • Data input and management of the NMRC TA portal system.
  • Provide timely responses to troubleshooting/customer service requests from programs and TA Providers. 
  • Pull weekly reports to monitor the status of requests and follow up with programs and Providers with reminders about required timeframes.
  • Pull and analyze reports to monitor the completion of key documentation, the quality of delivered services, and the spenddown of TTA hours.
  • Manage and update NMRC materials in the MENTOR Hub and direct MENTOR staff and TA Providers to these materials as needed. 
  • Complete outreach to mentoring organizations, including OJJDP grantees. 
  • Work with the Research Board to create content for NMRC Blog and resource profiles. 
  • Actively monitor and promote user engagement on the NMRC blog, discussion boards, and website. 
  • Draft website content that showcases OJJDP’s investments in the mentoring field.
  • Provide logistical support for NMRC trainings, webinars, online modules, and meetings.
  • Draft and prepare contracts for consultants supporting this project.

MENTOR General Inquiries

  • Respond to general inquiries about MENTOR’s services and provide information about relevant opportunities to engage in and support MENTOR’s work.
  • Complete data analysis about the most common requests to inform MENTOR’s products and training. Create and update general inquiry response templates as needed to capture MENTOR’s growing list of relevant products and resources.

Webinar, Event, and Program Support

  • Provide communications, registration, coordination and logistics support for virtual training and learning events, such as webinars and calls for national organizations and OJJDP grantees, as well as in-person events, such as the annual National Mentoring Summit, Summit Fellows Program, and OJJDP New Grantee Meeting.
  • Provide other general administrative and programmatic support as needed.

Qualifications:

  • 1-3 years of professional work experience (part-time, work study or internship included) in related/relevant fields
  • Experience coordinating projects using complex systems involving many stakeholders
  • Team player with eagerness and excitement in providing administrative support that includes calendar management and webinar coordination
  • Highly organized with strong deadline management, sense of responsibility and accountability, the ability to manage multiple responsibilities
  • Ability to collaborate and communicate effectively with a diverse set of stakeholders, including external partners, vendors and contractors
  • Excellent written and verbal communication skills, meticulous attention to details
  • Experience with writing and content creation
  • Fluency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, and Teams preferred  
  • Experience working with CRM a plus  (MENTOR uses Salesforce)

Making the Decision to Apply

This position is currently remote, though we are expecting all employees to return to our Boston office as soon as we can safely return to the workplace following the COVID-19 pandemic. 

We hope to have phone interviews in May with select candidates followed by Zoom interviews with the Program Manager. A few finalists will have an interview day with other staff and leadership at MENTOR followed by a holistic reference check process. Expected start date is July/August 2021. 

Compensation and Benefits

Salary will be commensurate with experience and the range begins at $45,000. Full benefits include health care, 403B, vacation, and life and short and long term disability insurance.
