Real Estate Paralegal/Legal Assistant
(Title and settlement Processing including Post Closing)
THE POSITION
The position involves duties relating to processing files for residential real estate settlements and post closing files after settlement. Candidates must be task driven with strong attention to details. Must have strong communication skills, both verbal for phone calls with the public, as well as written in composing and responding to emails. Ability to maintain a pleasant and professional demeanor in stressful situations is a must.
KEY RESPONSIBILITIES:
- Processing
- Review of title reports and clearing exceptions to title
- Preparation of title commitments and related documents
- Understand and prepare settlement statements and closing disclosures
- Review and prepare files in compliance with lender closing instructions
- Prepare CD settlement statement following receipt of loan documents
- Communicate with realtors, sellers, buyers and lenders to coordinate closing
- Review and prepare title insurance commitments and policies
- Communicate effectively with clients, customers and fellow staff including returning all voicemails and emails
- Post Closing
- Disburses closed files, sends payments for invoices, forwards title policies and copies as needed
- Prepare documents for recording with land records office, tracks and verifies recording; including electronic submissions
- Coordinates return of final original loan document package to new mortgage lender
- Ensures compliance with lender's instructions
- Updates electronic file with all executed closing documents
- Sends payments for invoices, copies and title policies as needed
- Coordinates proper document management follow-up upon recordation, including recording releases
- Prepares Certificates of Satisfaction, Releases of Judgment and/or other documents for transmittal to lender with payoff. Upon return of documents, forwards for recordation
- Periodic review and clearing of outstanding checks and escrow balances
QUALIFICATIONS & MINDSET
- Experience in the title/settlement/mortgage or other related industry preferred but not required
- Excellent communication and interpersonal skills
- Ability to multi-task and work under stringent deadlines
- Highly detail-oriented
- Collaborative and team-oriented
