Executive Assistant and Special Projects Coordinator


At SCS Noonan Scholars, we believe there should be more high-achieving under-represented students graduating from top colleges equipped to achieve their full potential in their chosen career. Originally launching in 2001 in Los Angeles, and then expanding to Boston in 2014, SCS Noonan Scholars is in a new phase of national expansion, working to support the top low-income students of color across the country with a refined model of service that has come to define the organization’s success in L.A. and Boston.

As our Executive Assistant & Special Projects Coordinator, you will work closely with the Executive Leadership Team during an exciting period of growth. You will provide support to the Executive Leadership team across various initiatives, including calendar and time management, supporting the organization’s Board of Trustees and coordination of special projects with the Chief Operating Officer (COO). You will use your strong relationship management skills to connect the dots on communications efforts within the organization and ensure exceptional relationship management. You will be instrumental in ensuring consistent and clear communication between the internal team and the Board of Directors.

This is a great opportunity to get a bird’s eye view into the culture, strategy, and operations of a growing nonprofit organization, and build deep partnerships with both a COO and CEO. This role offers significant opportunities for professional development and is a great fit for someone who is a self-starter.  This role reports directly to the COO and is based out of our office in downtown Boston.

Support Executive Leadership and Board Initiatives

  • Support administration and logistics in the management of SCS Noonan’s Board of Trustees, managing the scheduling of quarterly board meetings, committee meetings, and other meetings or calls as needed
  • Attend all organizational meetings when needed to help with set up, note-taking and follow up 
  • Provide additional general administrative support as needed, which can include coordinating senior leadership and management team meeting and planning team-wide events
  • Provide logistical support for regular organization-wide team meetings and office/organizational events
  • Support internal communications, gathering announcements from various stakeholders internally to coordinate messaging or regular bulletins that promote a culture of transparency and ensuring all staff is aware of key internal issues

Support General Operations in Partnership with COO

  • Perform the duties of office manager in the Boston office, including staffing the front desk, handling of mail, depositing checks, and other administrative responsibilities as needed
  • Maintain a professional office setting through systems for conference room booking and the purchasing supplies as needed 
  • Serve as primary point of contact with building management and as the problem solver for any office issues

Manage Executive Leadership Team Schedule & Administrative Support

  • For each member of the Executive Leadership Team:
  • Own each leader’s calendar, ensuring their time is allocated in accordance with organizational priorities
  • Provide general administrative support to each leader, including scheduling travel, managing expenses, and other duties as required

For the CEO

  • Leverage the CEO’s time by ensuring excellent advance preparation and diligent follow-up for all meetings, internally and externally
  • Proactively analyze the CEO’s use of time on an ongoing basis and identify opportunities to increase efficiency & effectiveness
  • Prioritize and act on all inbound correspondence to the CEO; draft and send responses as appropriate

Special Projects

  • Support seasonal large-scale Operations projects, such as the planning and logistics of an All Staff Retreat
  • Engage in research projects, as needed, to support C-Suite initiatives

  • 2+ years of experience in an administrative-focused position, nonprofit experience preferred
  • Excellent written and oral communication skills, with an understanding of how to convey topics to a variety of audiences
  • Excellent time management, attention to detail and ability to manage multiple tasks/priorities in a fast-paced environment
  • High level of discretion and maturity
  • Excellent organizational and data entry skills and commitment to being thorough
  • Demonstrated track record in troubleshooting, problem-solving, and follow through
  • Commitment to SCS Noonan Scholar’s mission and a deep interest in working with low-income underrepresented students
  • Ability to thrive and learn in our fast-paced, entrepreneurial environment while bringing an enthusiastic, collaborative approach to your work


SCS Noonan Scholars offers a robust compensation and benefits package including high-quality health and dental insurance, three weeks of paid vacation, professional development funding, and access to a retirement plan. This is a full-time exempt position with a salary range of $48,000-$50,000.


The mission of SCS Noonan Scholars is to help high-achieving, low-income, underrepresented students to get into and graduate from top colleges equipped to reach their full career potential. Through a six-year-long program, SCS Noonan Scholars provides students with college counseling and intensive academic preparation before college and a comprehensive set of academic, personal, social-emotional, financial, and career supports throughout college. This continuum of support directly addresses the unique barriers they face in entering and succeeding at selective colleges and in competitive careers.
