Finance and Operations Manager

THE OPPORTUNITY

At SCS Noonan Scholars, we believe there should be more high-achieving under-represented students graduating from top colleges equipped to achieve their full potential in their chosen career. We support our students through college with academic intervention, stipends, academic and social-emotional support, and career guidance and networking. Originally launching in 2001 in Los Angeles, and then expanding to Boston in 2014, SCS Noonan Scholars is in a new phase of national expansion, working to support the top low-income students of color across the country with a refined model of service that has come to define the organization’s success in L.A. and Boston.

As our Finance & Operations Manager, you will play a critical role in supporting high-quality operations across our growing team in two offices. You will sit at the center of a small and dynamic team of passionate operational professionals, working to create and drive processes that allow the organization to work efficiently in service of our mission. Core to the role is balancing the day-to-day needs within the areas of finance and human resources and partnering with our outsourced accounting firm and other vendors to ensure members of the executive team and staff have access to the data and information they need. Your strengths in developing high-quality relationships with colleagues and partners, attention to detail, process focus, and experience solving problems with creativity and a positive attitude will help us to create and drive strong internal processes. 

You’ll love this position if you enjoy getting things done with attention to detail and solving problems independently. An ideal candidate will have prior experience working within finance, accounting, general operations or human resources and have a basic understanding of core responsibilities related to these areas. This is a full-time position based out of our office in L.A. and will report directly to our Chief Operating Officer (COO) who is based in Boston.

KEY RESPONSIBILITIES

Finance

  • Liaise with the external accounting firm to ensure appropriate financial processes and record keeping
  • Process and track invoices, deposits, reimbursements, check requests, and other financial documents for external accounting service
  • Manage the monthly expense reports and credit card receipt process
  • Support the development team in reconciling revenue between fundraising and finance databases
  • Provide support to senior staff on internal monthly reporting, quarterly reporting to SCS Noonan board, and the annual audit
  • Analyze and present financial reports in an accurate and timely manner
  • Support complex financial projects, including budgeting and forecasting

Human Resources

  • Process and manage payroll and related functions in partnership with external accounting firm including the management of paid time off records for all staff and contractor payments
  • Lead the administration and education of staff on employee benefit offerings and enrollment, changes and termination processes keeping the HRIS system up to date and accurate
  • With support from the senior team, lead recruiting/onboarding/offboarding process for employees and contractors, including hiring documentation, benefits enrollment, hardware/software set-up, etc.
  • Partner with COO to further develop human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training and recruiting
  • Work closely and transparently with all external partners including third-party vendors, brokers, and consultants

General Operations

  • Serve as primary point of contact with building management and as the problem solver for any office issues
  • Oversee and deliver office services, ensuring that the office is consistently clean, well-maintained, and set for meetings and events
  • Fulfill the role of office manager in the LA office, including ordering supplies, handling of mail, depositing checks, etc.
  • Develop and maintain an operations manual that clearly outlines operational policies and procedures, ensuring the integrity and that the appropriate levels of controls are in place

QUALIFICATIONS & MINDSET

This said we are most likely to be interested in your candidacy if you can demonstrate the majority of the qualifications and experiences listed below:

  • 3+ years of experience in nonprofit operations, finance or human resources
  • Bachelor’s degree in related field (business, accounting, management) preferred
  • Ability to translate financial concepts and effectively collaborate with colleagues who may not have finance backgrounds
  • Technology savvy with experience overseeing software administration and managing relationships with software vendors: knowledge of accounting and reporting software
  • A successful track record in setting priorities, managing relationships and ability to prioritize, negotiate and work with a variety of internal and external stakeholders/partners.
  • Experience managing human resources and financial administrative functions
  • Excellent organizational and data entry skills, attention to detail, and commitment to thoroughness
  • Demonstrated track record in troubleshooting, problem-solving, and follow through
  • Commitment to SCS Noonan Scholar’s mission and a deep interest in working with low-income underrepresented students
  • Ability to thrive and learn in our fast-paced, entrepreneurial environment while bringing an enthusiastic, collaborative approach to your work

COMPENSATION & BENEFITS

SCS Noonan Scholars offers a robust compensation and benefits package including high-quality health and dental insurance, three weeks of paid vacation, professional development funding, and access to a retirement plan. This is a full-time exempt position with a salary range of $52,000-$58,000.
