Executive Assistant


The Institute for Nonprofit Practice (INP) pursues its mission to transform communities by equipping the most promising nonprofit leaders with the skills, confidence and resources they need to make their organizations effective, innovative and sustainable. Central to INP’s mission is a commitment to social justice and advancing women and people of color in leadership.

The Institute accomplishes its mission through a series of year-long certificate programs for executives, managers and high-potential emerging leaders. The result: in twelve academic years, 1,200 students representing 600 diverse nonprofit organizations have acquired new skills and expertise that have made them more effective managers and leaders. After over a decade of success, INP is looking ahead to the next chapter of growth and opportunities to broaden and deepen its impact.

The Institute is affiliated with Tufts University's Jonathan M. Tisch College of Civic Life, which grants certificates to students upon graduation.


The Executive Assistant is a new position reporting to the CEO and will work closely with the senior team and Director of Finance and Operations on executive tasks.  As our new Executive Assistant, you will play a meaningful role within the organization; ensuring exceptional communication between the senior team and the Board of Directors as well as managing scheduling and travel for the CEO.  You will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities.

The ideal candidate will possess strong attention to detail, the ability to work quickly, exceptional communication skills and comfort with ambiguity as the Institute for Nonprofit Practice grows and evolves. For the right candidate we are able to accomodate a flexible or alternative schedule and the option for some work to be completed remotely.  

This is an excellent opportunity to join a dynamic organization in a role where you can contribute immediately and advance our mission.  This role is based at the INP office in Needham, MA and will include occasional travel to our program sites in Boston, Lowell, Providence and Cape Cod.  Our office in Needham is not easily accessible by public transportation and access to a car is important to performing the functions of this role.

Responsibilities Include:

  • Assist the CEO with daily administrative duties that include calendar management; proactively identifying and addressing travel and scheduling conflicts; answering and routing phone calls and mail; and completing monthly expense report
  • Ensure CEO has all relevant materials for external meetings in close coordination with the Development team
  • Research and book complex travel itineraries; be on call to handle last-minute changes in travel as necessary
  • Assist with email communication and task prioritization for CEO; manage internal communication on behalf of the CEO, as needed
  • Serve as administrative liaison for the INP’s Board of Directors, managing scheduling of quarterly board meetings, taking notes at committee meetings, and joining other meetings or calls as needed
  • Provide additional general administrative support as needed, which can include coordinating senior leadership and management team meeting and planning team-wide events
  • Maintain a professional office setting through systems for conference room booking and the purchasing supplies as needed
  • Provide additional support to the INP team and organizational priorities as needed
  • Support the Director of Finance & Operations with day-to-day HR functions; including file maintenance, benefits administration
  • Support the Director of Finance & Operations with day-to-day finance operations, liaising with outsourced accounting firm; this work includes processing deposits, payables, reimbursements, and reconciliation and basic tracking of expenses


  • You possess a strong dedication to INP’s mission and values of social justice, generosity, and integrity
  • You have 3+ years of relevant experience including scheduling, preferably with a nonprofit organization
  • You have experience with office management and administration
  • You are proficient with Google and Microsoft Office suites
  • You possess strong interpersonal skills and the ability to effectively interact and communicate with individuals at all levels of the organization
  • You are able to think critically, analyze information, and make actionable recommendations
  • You possess strong time management and organizational skills
  • You are able to effectively manage multiple projects and meet deadlines
  • You are flexible and have an adaptive work style with the ability to thrive in a growing, entrepreneurial, mission-driven environment
  • You have a valid driver’s license and regular access to a vehicle; willingness to travel to sites for program activities
